Why a record and not an answer
An answer helps you today. A record answers for you later.
When a regulator, a broker or a plaintiff asks what your review process was, “we were careful” is not a process and “we sometimes asked an AI” is not evidence. A dated log of what was screened, against which rules, and what changed, is.
What we actually keep
- Every piece, dated. What was submitted, when, and which rulebook version read it.
- Every finding. The phrase that tripped, the rule it broke, and the wording that replaced it.
- A sealed chain. Each entry is hashed against the one before it.
- A weekly receipt. One line lands in your inbox every Friday.
The part most vendors skip
What the chain proves, and what it does not.
A seal that is oversold is worse than no seal, because you would rely on it. So, precisely:
It does prove
That no entry was altered, reordered or removed from the middle of the log. Change one row and every hash after it stops matching.
It does not prove completeness
The end of a log can be truncated and re-sealed. A chain alone cannot tell you that nothing was cut from the tail.
